Team Activity and Capacity Planning

Overview

Team Activity and Capacity Planning is a TimeCampus concept for leads who need to know what their team is working on and how much room is left, without turning time data into individual surveillance. It combines three views: a shared feed of team updates, aggregate analytics of how the team's hours are distributed, and a planning grid that allocates people to projects week by week.

The Team Activity Feed collects updates as cards: a teammate updating a project with the hours tracked this week and a small daily bar chart, a block of time logged against a project for a client, a timesheet submitted for approval with a Review and Approve button, and entries for tracked work with project and task chips. Tabs switch between all activity, projects, time and approvals, a filter narrows the feed, and each card carries comments and reactions, so the feed doubles as a lightweight way to acknowledge work.

Team analytics steps back to the whole team. A stacked weekly chart splits each day into deep work, meetings, collaboration and admin, with average hours logged per person and an explicit note that the data is aggregate, not individual. A donut compares focus hours with meeting hours and adds a plain-language insight. A weekly aggregate meeting cost shows total meeting hours and an average hourly cost, and a capacity heat strip shades each day and time slot from high capacity to fully booked.

Resource Planning turns that picture into allocations. Filters choose the month, team and projects, and a capacity overview lists each member with their role. For every week it shows a status such as allocated, optimal or available, hours against capacity with a progress bar, and chips for the projects assigned. A week where assignments stack up for one person is highlighted in a warning tone so it can be rebalanced before it happens.

In the wider product, the feed and analytics draw on the same time entries, projects and approvals used elsewhere, so planning rests on time actually spent rather than estimates. All names and figures in the illustrations are sample data.

How it works

  1. Open the team activity feed to see recent updates, tracked time and pending approvals from the team.
  2. Filter by projects, time or approvals, and act on a pending timesheet with Review and Approve.
  3. Switch to team analytics to read the aggregate split of deep work, meetings, collaboration and admin.
  4. Check focus versus meeting load, the weekly meeting cost and the capacity heat strip for crowded time slots.
  5. Open Resource Planning, choose a month, team and project set, and review each person's weekly allocation.
  6. Rebalance a highlighted week by adjusting that person's project assignments.

Team Activity Feed
